Returns
Returns shows a list of
items hired out but not yet returned.
If the invoice has hire items with an Act Date From but no Actual Date To entered then
the invoice will show in the Returns list.
Note:
All overdue returns show in the reminders
list as well.
How to complete a Return
- From the Main Screen, click the Returns
button.
This will open a screen like the following:

- Select the item returned then click Select (or double-click
the item).
This will open a screen like the following:

- Tip: If the returns list is long or you are having trouble
finding the return then:
Click the Search by Item or Search by Customer option.
Select the field to search on from the drop-down list.
Start entering the description in the Find box and the item will be
highlighted.
- The Actual Date/Time defaults to the current date/time.
Verify and alter the Act Date/Time Returned if required.
- Click the green tick button for all items that are returned in full.
- For items that are partially returned, enter the quantity returned in the
Qty Returned box.
The amount still on hire is calculated.
- Enter the Estimated Date/Time To that you expect the items still on
hire to be returned.
- Click OK to complete the return.
This will open the Invoices
window.
All times, quantities and totals are recalculated automatically (unless you
have the auto-recalc option switched off).
Manually Completing Returns
- To close the invoice you need to enter an Actual Date/Time TO.
If the customer has returned the item on time, you can click the
button
to copy the Estimated Date/Time TO to the Actual Date/Time TO.
Otherwise, click the
button
next to the Actual Date/Time TO and select the date/time returned.
- Select the second Staff Member if you are tracking staff.
- Select the Payment (or Refund) button if a payment is due,
and complete a payment transaction as per the
invoice payments instructions.
